First Time Exhibitor Checklist

Pre-show:

 Review your booth contract to confirm your booth information is correct.

 Confirm dates for move in and move out. Does this show move in on a targeted schedule? You can locate that information here.

 Not sure what comes with your booth space? Review “What’s Included With My Booth?” here.

 Interested in the show special booth package? If not, consider a custom rental or a custom build. Check out our Customized Rental Exhibits and talk to an exhibits expert.

 Do you need to order additional furnishings, (furniture, carpet, cleaning, etc.) for your booth? Order before Wednesday, March 28, 2018 to take advantage of the best rates.

 Remember to pre-order labour for move in and move out. To get labour times guaranteed, order labour for the start of the workday. Expert tip: When sending your freight direct to show site and ordering installation labour, plan installation the day after your freight is scheduled for delivery.  Are you hiring an Exhibitor Appointed Contractor (EAC)? Turn in all your EAC related forms (Intent to Hire, signed Agreement & Rules & Insurance Certificates.

 Be sure to review the additional services being handled by the facility for the show you are attending.

Shipping & Material Handling:

 Everything you need to know about shipping to/from your show is available here.

 To avoid unexpected cost at show site, consider pre-paying your material handling fees.

 Consider GES for your shipping needs. Get a quote a from GES Logistics.

 If you’ve already arranged shipping, confirm final arrangements with your in/outbound carrier prior to show open and prior to show close. Check the Exhibitor Move out schedule for suggested carrier post show pick-up times. Remember, you need to allow time for crates/boxes to be returned, packed and staged for outbound shipping.

 By supplying your outbound shipping information in advance of the show through Expresso, you can create & generate pre-printed bills of lading and shipping labels for your outbound shipping.

 When shipping inbound or outbound, keep your carrier PRO numbers (tracking numbers) along with contact phone numbers (daytime and after hours) with you in case you have questions about your shipment.

At Show:

 Prepare your empty crates for storage by removing old storage labels. The GES Service Centre at show site can provide you with the proper color-coded storage stickers to be used. Having your empty crates labeled properly will make identification at show close faster and more accurate.

 Make note of the Exhibitor Move Out schedule and schedule your Move out labour with the GES Service Desk.

 Assign someone from your company to be on-site to oversee the outbound shipment of your booth property and product.
